Useful information does not require you to put yourself down.

A preference or disagreement expresses a different way of seeing things: “I would have chosen another color” or “I’d rather receive a call.” Ask whether that preference reflects an agreed requirement, a real constraint or simply the person’s taste. Disagreement does not automatically require a correction.

A personal attack targets your worth through a label: “You’re useless” or “You always mess everything up.” You can ask to return to a specific fact and refuse insults. The person making a hurtful comment also bears responsibility for it.

A comment can mix these categories: a real omission may be raised in a humiliating tone. You can acknowledge the omission and ask to be spoken to differently. Accepting information and accepting how it is delivered are separate decisions.

FREE WORKBOOK

Your Quick Emotional Check-In

To explore what affects you, the Quick Emotional Check-In offers a five-minute self-check, a trigger journal and a worksheet for preparing difficult conversations. You may use just one in a brief exchange. If a comment concerns an emergency or an error that puts someone at risk, address the immediate problem first.

1. Take a little time before defending yourself

When a comment hurts, you may want to explain everything, counterattack or agree just to end the conversation. If the situation allows it, give yourself a short delay instead of choosing your response in that initial impulse.

Try: “I want to understand your comment. Give me a moment,” or “I’ll reread that section and get back to you this afternoon.” Say when you will return to the subject. You are taking time to process the message while keeping the other person informed.

2. Name the feeling without labeling yourself

“I feel hurt,” “I’m embarrassed” and “I’m afraid of disappointing someone” describe an experience in the moment. “I’m too fragile” turns that experience into a verdict about your personality.

Instead, complete the sentence: “This comment affects me because…” You may notice an unmet expectation, effort that feels unseen or a need for respect. That information helps you explain what matters without requiring the other person to confirm your whole interpretation.

3. Return to the actual words and check your conclusion

Review what was actually said. Write separately what you concluded from it. “This section isn’t clear” is a message. “Nobody trusts me” is a much broader conclusion.

Ask: “What supports that conclusion? What challenges it? What do I still not know?” The NHS includes this kind of thought checking in its self-help resources. Look for a more accurate interpretation without forcing a cheerful one: “This point needs clarification; I don’t yet know what she thinks about the rest.”

4. Ask for an example and a specific expectation

Vague criticism is difficult to use. “You need to be more professional” can mean several things. Ask a question that brings the discussion back to an observable behavior:

“Which specific moment are you referring to?”

“What would you have liked me to do differently?”

“What change would be most useful next time?”

Listen to the answer before responding to the substance. The techniques in our article on active listening at work can help. Understanding an expectation still leaves you free to accept it, discuss it or explain a constraint.

Asking for an example turns vague criticism into something you can examine.

5. Choose what to change and what to challenge

After checking, make a proportionate decision. If there is a real error: “The date is missing. I’ll add it.” If you disagree: “I understand your preference. I chose this approach to meet the requirement we agreed on.” If the comment is insulting: “I can discuss the document, but I need you to talk about the work without insulting me.”

You can also acknowledge part of the comment: “I missed the deadline. However, I don’t agree that I never pay attention.” To prepare for a longer exchange, see our article on difficult conversations at work.

6. Close the loop with one small action

Once you have chosen a response, write down what you will do: correct a detail, ask for clarification tomorrow or revisit the conversation in a more respectful setting. A defined task is easier to follow than a vague obligation to “be better.”

If the thought returns, check: “Do I have new information, or am I replaying the same scene?” Without anything new, return to your planned action and then an everyday activity. If this loop becomes frequent, our article on emotional overload at work can help you take stock.

At work, with family and in messages: three possible responses

Your manager criticizes how you presented something

They say, “The presentation was hard to follow.” Try: “Which part lost you? For next time, would a shorter outline or more examples be most helpful?” You are looking for a specific improvement without apologizing for your whole personality.

Someone close says you are not available enough

Instead of “I’m a bad friend,” respond: “You would have liked me to check in more this week. What did you miss? I can call on Sunday, but I won’t be available every evening.” You acknowledge the request while explaining your real availability.

A message seems cold

“Redo this” leaves plenty of room for interpretation. Ask: “Which part needs redoing, and what criterion should I use?” If the exchange stays unclear, suggest a brief call. A short message alone does not establish the writer’s intention; a repeated disrespectful tone does deserve attention.

A five-minute exercise for your next comment

Choose a recent situation that feels manageable enough to reflect on calmly. On one page, complete these five lines:

The words received: the sentence as accurately as possible.

My reaction: the feeling and what I wanted to do.

My conclusion: what I thought about myself or the other person.

What needs checking: the missing example or clarification.

My chosen response: one action, question or boundary.

After your next conversation, check just one sign of progress: did you ask for clarification before judging yourself? You do not need to stop feeling anything to notice a change.

A short note helps separate the message received, the added conclusion and your next action.

Frequently asked questions

Does feeling hurt mean I lack emotional intelligence?

A painful feeling is not enough to assess your skills. What you are practicing here is recognizing your reaction, checking the message and choosing a response. You can feel affected and still use good judgment.

Should I thank someone for every criticism?

You can thank someone for a useful clarification. You do not have to thank them for an insult. A simple response also works: “I understand the point; I’ll check it.”

What if the criticism is unfair or repeated?

Keep specific examples and seek support if someone regularly humiliates you or a power imbalance keeps you from speaking freely. If distress persists or affects your sleep and daily functioning, talk to a professional. Emotional skills do not make bullying acceptable.

Regain your choices without becoming indifferent

Taking things less personally means learning to receive information without turning it too quickly into a sweeping judgment. You can acknowledge a mistake, remain sensitive and stand up for respectful treatment at the same time.

When the next comment arrives, begin with one question: “What exactly are we discussing, and what can I check before drawing a conclusion?”

Sources and further reading

The examples are fictional.
