At first, you feel relieved to have avoided an awkward moment. Later, you feel trapped, tired or irritated with the person who asked. How can you respond differently without becoming cold or making it seem as though the relationship no longer matters?

Setting a boundary means explaining clearly what you can do, under what conditions and what you cannot take on. Emotional intelligence helps you recognize how the request affects you, understand the other person’s situation and choose a response you can follow through on.

You do not have to wait until you can say no without any discomfort. You can learn to stay respectful while feeling uneasy. The aim is to reach a clearer understanding than the one created by a hurried “yes.”

Why this matters today

Requests come through phone calls, messages and everyday conversations. They can arrive at any hour, while your availability remains limited. In its 2026 global report, based on data collected in 2025, Gallup found that 40% of employees surveyed had experienced a lot of stress the previous day. This figure does not measure difficulty saying no, but it provides context for the demands people face. [1]

Canadian guidance on disconnecting from work and Singapore’s resources on workplace well-being both emphasize clear expectations outside normal working hours. [2] [3] In your personal life too, explaining when you are available can help prevent misunderstandings. How you express yourself matters, as do the arrangements and habits of the people around you.

Before answering, separate wanting to help from fearing disappointment

Imagine this fictional situation. Your sister asks you to spend all of Saturday helping her move. You already have a commitment and need to keep part of the day free. You immediately think, “If I say no, she will think I am letting her down.” That thought pushes you towards an agreement you already regret.

Your first step can be a simple pause: “Let me check my plans and get back to you this evening.” Give a realistic time for your answer, then use that time to consider the request. You are not making the other person wait as a punishment; you are trying to give a reliable answer.

Ask yourself what is being requested, what it involves and why you are considering agreeing. If you cannot help, “I will not be able to come on Saturday” is a complete answer. The point is to make your response match what you can actually manage.

At work, make the choice of priorities clear

Declining a personal request and discussing a new assignment with your manager are not quite the same situation. At work, start by clarifying what needs to be done, the deadline and the other priorities. You can explain a limit on your capacity while asking for a decision about how the work should be organized.

For example: “I can prepare that document by Thursday. For tomorrow, I already have the client file to finish. Which should I work on first?” You are giving useful information to the person assigning the work. If they confirm the urgency, ask what can be postponed and restate what you have agreed.

For evening messages, avoid assuming everyone has the same expectations. Agree on a response time, a channel for genuine emergencies and any special arrangements such as on-call duties. The rules that apply depend on the role, organization and country; a helpful phrase does not replace those agreements. [2] [3]

At work, making priorities visible helps you discuss a new request.

If the person insists, listen without starting the whole negotiation again

Your sister replies, “Two hours will never be enough.” You can acknowledge her disappointment without promising more: “I understand you need more time. I am still available from 9 to 11 a.m. Let me know whether those two hours would help.” Your answer recognizes her difficulty while keeping the essential information clear.

There may be room to discuss a different day, a smaller task or sharing the work. Check that the new agreement really works for you. If every repeated request turns your refusal into acceptance, the other person has no way of knowing which answer reflects your actual availability.

A boundary can also concern your part in a conversation: “I want to talk about this, but I will take a break if we keep insulting each other. I can return to the conversation this evening.” State an action that is within your control. Trying to dictate what the other person must feel or think often leads nowhere.

The situation

A possible response

What to remember

A request from someone close to you

“I am not available on Saturday.”

Offer an alternative if it works for you.

An urgent new assignment

“Which file should I work on first?”

Clarify priorities and deadlines.

Insistence after you say no

“I understand. Before offering more, return to the facts. Have you broken a promise? Was the person relying on an agreement you had already made? Or do you mainly feel uncomfortable because you would have liked to make them happy?

If you have forgotten a commitment, acknowledge it and look for a proportionate way to put things right. If you had made no promise, you can keep your answer while accepting that the other person may be disappointed. Their feelings deserve to be heard, but those feelings alone do not tell you whether your decision was reasonable.

Avoid repeatedly checking whether the person is upset with you. Return to your day, then notice what actually happens. Learning to set a boundary often means tolerating some uncertainty, without treating every silence or short message as a verdict on the relationship.

Situations that need more than the right words

Repeated unreasonable demands, harassment or fear of retaliation cannot be resolved simply by finding a better sentence. At work, seek appropriate support from a trusted manager, an employee representative or an occupational health service. If a relationship leaves you frightened or exposes you to threats, your safety and outside support come before practising communication skills. [4]

Likewise, if guilt or anxiety becomes overwhelming and persistently interferes with daily life, you can speak with a qualified professional. Emotional intelligence can help you understand feelings and communicate; it does not give you control over someone else’s behaviour.

One boundary to practise this week

Choose an everyday request with moderate stakes. Take time to check your availability, give a specific answer and observe what happens afterwards. You could note what you feared, what you said and what actually happened. Comparing these can help you adjust how you respond.

You do not have to choose between helping everyone and shutting other people out. Clear availability helps everyone make plans. Saying “here is what I can do” is also a way to care for a relationship you want to keep being part of.

Roger Grenier

Sources and further reading

Sources consulted on 18 October 2026.
